Overview

This position provides senior-level administrative support to the CEO and to the Co-op’s Leadership Team (as defined by the CEO) and Board of Trustees. The Executive Assistant plays a critical role in aligning the CEO’s time and priorities with the execution of PCC’s objectives, and by acting as a liaison between the CEO and Board of Trustees who collectively set the strategic direction for the co-op, its staff, members and communities. The success of the Executive Assistant is strongly correlated with the successful execution of the CEO’s day-to day priorities and the quarterly Board and Committee meetings. This role works primarily in the office with some hybrid flexibility.

Main Job Responsibilities

  • Anticipates, prioritizes and manages the CEO’s time commitments and calendar, including coordinating internal and external meetings, conference calls, travel, and store visits.  
  • Sets and manages the internal schedule of meetings for the CEO with the PCC Leadership Team (LT), other leaders in the organization, as well Trustees and other stakeholders.   
  • Assists in setting the agenda for the weekly PCC LT meeting, and participates as note-taker.  
  • Manages the operating expense budget for the Executive and Board cost centers. Works with Finance to develop the annual budget, and provides the CEO with periodic updates and forecasts.  
  • Processes expense reports for the CEO and Trustees; reviews and approves expense reports submitted by LT.  
  • Works with the internal Communications team to set and manage the logistics for PCC Town Hall meetings.  
  • Supports the logistics and execution of PCC Membership events, and other large-format meetings between the CEO/Board and either employees or co-op Members.  
  • Establishes and manages a timely and proactive 2-way communication channel between the CEO and LT (and the rest of the organization when necessary); ensures high level alignment amongst LT members as it relates to their commitments to the CEO and peer group.  
  • Assists the CEO and LT, when required, in the planning and logistics of LT events.  
  • Provides ongoing calendaring and administrative support to the Board of Trustees Chair and Board Committee Chairs.  
  • Coordinates with the PCC LT and Board of Trustees (BOT) to set and manage the schedule of Board and Committee meetings, for current and future year(s).  
  • Manages the compilation and publication of all BOT and Committee material – typically on a quarterly basis.  
  • Sets and manages the end-to-end logistics for all Board and LT meetings.  
  • Assists with the Board of Trustees’ Annual Election Process. 
  • Responsible for PCC’s Annual Members’ Meeting logistics.  
  • Compiles and provides orientation materials for newly elected board members.  
  • Writes and edits Board-related information on PCC’s website.  
  • Leads special projects as requested on behalf of the CEO.  
  • Other duties, as assigned.  

Qualifications and Skills

  • 3 + years successful administrative support experience for executive level positions.  
  • Demonstrated experience managing, supporting, and coordinating organizational level administrative projects.  
  • Passion for working with teams of people, developing relationships, and anticipating organizational needs.  
  • Strong technical skills, with an emphasis on Microsoft Office 365, especially OneDrive, Outlook and PowerPoint.  
  • Ability to plan, organize and meet multiple demands simultaneously.  
  • Ability to collect, synthesize, coordinate and communicate complex information.  
  • Experience with planning meetings and events.     
  • Excellent interpersonal, verbal and written communication skills.  
  • Ability to work independently, while also knowing when to seek the collaboration and input of others.  
  • Proven experience working with a diverse group of external contacts, and staff at all levels of the organization 
  • Professionalism, adaptability in stressful circumstances, and willingness to do what the situation requires to make the Board, the CEO and PCC successful
