The Accounting Assistant is responsible for processing accounts payable transactions, communicating with vendors, maintaining vendor account records and assisting with various accounting activities.

Main Job Responsibilities

  • Checks and posts imported accounts payable batches
  • Codes and inputs office and store expense invoices
  • Reconciles, prepares and posts adjustments with vendors when needed
  • Prepares, verifies and posts accounts payable check run
  • Maintains accounts payable reports
  • Prioritizes and schedules daily accounts payable tasks and ensures project deadlines are met
  • Processes store bookkeeping
  • Processes and reconciles invoices and deposits for accounts receivable
  • Reconciles general ledger accounts as assigned
  • Assists with various monthly, quarterly and year-end processes as assigned
  • Communicates effectively and timely, both written and verbally to staff members, vendors and the public
  • Provides support and assistance in various accounting areas assigned

Reporting Relationships

  • Reports to: Accounting Manager

Qualifications and Skills

  • At least 2 years’ previous accounting experience with mid to large sized company systems required
  • Knowledge of accounts payable and accounts receivable functions
  • Thorough understanding of balance sheets, income statements, account reconciliations and journal entries
  • Proficient at data entry and data organizing skills
  • Ten-key by touch with accuracy
  • Previous experience with integrated computer systems
  • Intermediate level of computer skills and proficient in Microsoft Office Suite
  • 1+ years college accounting classes preferred
  • Full charge bookkeeping experience preferred
  • Previous ERP (Enterprise Resource Planning) accounting system experience with mid to large sized company systems preferred
  • Excellent interpersonal, verbal, and written communication skills
  • Strong organizational and time management skills with the ability to prioritize and problem solve with excellent attention to detail
